DJ Hire Terms & Conditions

Moods Sound Agency – DJ Services for Private, Corporate & Wedding Events

1. Booking Confirmation

  • A booking is considered confirmed once a written agreement is made (email or contract), and a non-refundable deposit (usually 25%) is received.

  • The remaining balance is due no later than 7 days before the event unless otherwise agreed in writing.

2. Cancellations

  • Client cancellation:

    • More than 30 days before event: deposit retained, no further charges.

    • Less than 30 days before event: 50% of total fee due.

    • Less than 7 days before event: full fee payable.

  • DJ cancellation:
    In the unlikely event that Moods Sound Agency needs to cancel, a full refund will be issued, and reasonable efforts will be made to find a suitable replacement DJ.

3. Venue Requirements

  • Client must ensure the venue has:

    • Moods Sound Agency will require parking spaces on-site to park/load/unload our vehicles before, during and after events.  The client is responsible to ensure this has been arranged before the day and has been arranged with the venue. Where the venue does not have parking facilities, Moods Sound Agency reserves the right to pass on any additional parking fees for a refund by the client. 

    • Suitable and safe electrical supply (minimum 2 x 13A sockets near performance area).

    • Sheltered cover if the event is outdoors (minimum 3x3m).

    • Permission for amplified music and access for setup at least 60–90 minutes before performance.

4. Performance Duration

  • Standard DJ set duration is agreed at the time of booking (e.g., 2–6 hours).

  • Any additional hours must be agreed prior to or during the event and will incur an extra hourly charge £150.

  • Overtime is subject to DJ availability and venue restrictions.

  • The client will arrange for reasonable refreshments for the artist(s) and attendants during the expected playing and hire times. If performances or hires are planned for 6 hours or greater, this will include a meal. The client is to arrange for a “table” to be set up and settled by the client for artist(s) and attendants if refreshments or meals are provided by pay-on-demand services such as a bar or kiosk.

5. Music Requests & Style

  • Playlists and preferred genres can be submitted in advance.

  • The DJ will use discretion to maintain flow and energy based on crowd engagement.

  • Moods Sound Agency cannot guarantee specific songs unless pre-arranged at least 7 days prior.

6. Equipment

  • All equipment (PA system, DJ decks, lighting, etc.) provided remains the property of Moods Sound Agency.

  • The client is liable for any damage, loss, or theft of equipment caused by guests or venue negligence.

7. Health & Safety

  • No drinks, food, or guests are allowed near DJ equipment unless permitted by the DJ.

  • Any hazardous or aggressive behaviour may result in early termination of services with no refund.

8. Insurance & Licences

  • Moods Sound Agency holds Public Liability Insurance and PAT certification for all electrical equipment.

  • It is the client’s responsibility to ensure the venue has the necessary licenses for live entertainment.

9. Force Majeure

  • Moods Sound Agency is not liable for any cancellation or delay due to circumstances beyond control (e.g., extreme weather, illness, travel disruption, power failure, strikes).

10. Photo & Video Use

  • Unless otherwise requested, Moods Sound Agency may use event photos or short video clips for promotional purposes (e.g., website, social media).

  • Please inform us in writing if this is not permitted.
